Users and access
Users is under Site Features in the left-hand menu. It holds the CMS logins for your staff.
Only Admins can use this screen. If you can't see it, or can see it but can't change anything, your role isn't Admin. That's expected.
Adding someone
- Click Users in the left-hand menu.
- Click Create New.
- Enter their Name and email address.
- Choose a Role — see below.
- Click Save.
Choosing a role
| Role | What they can do |

| Admin | Everything, including managing users and running data syncs |
| Editor | Create, edit, publish and delete content |
| Author | Create, edit and publish content, but not delete it |
| Viewer | Read-only for most content |
There is no approval step. Anyone who can edit can publish — including an Author. If you are looking for a role that lets someone draft content for review before it goes live, there isn't one.
Two exceptions worth knowing before you decide:
- The media library ignores roles. Anyone who can sign in can upload, replace and delete files, whatever their role.
- The staff directory ignores roles too, in the same way.
So "Viewer" is not as restrictive as it sounds. Give it to someone you'd trust not to delete things, not to someone you need to prevent from deleting things.
Analytics access
Can access analytics is a separate tick box on each user. Tick it for people who need the website traffic figures; leave it unticked otherwise. It is independent of role.
When someone leaves
Delete their user record, or their login keeps working.
Do this the day they leave, not later. This is the single most important thing on this screen.
Changing someone's role
Edit their record, change the Role, and save. It takes effect the next time they sign in.
If someone can't sign in
- Do they have a user record here? If not, that's the answer.
- Have they used Forgot password? That resolves most cases without you doing anything.
- Is their email exactly right? Check for typos — a wrong address means the reset email goes nowhere.
