News
News is under Content in the left-hand menu. It holds your news articles and announcements.
⚠️ Publishing a news article emails your subscribers. It happens automatically on the next digest run — there is no tick box to turn it on, and no way to un-send it. Read Publishing sends email below before you publish your first article.
Drafts — News works differently from Events
News is the one place you can safely work on something over several days.
- A news article can be saved as a Draft. Nothing is public and nothing is emailed until you publish it.
- Your work saves itself as you type, so you won't lose it if you close the tab.
- You can schedule an article to publish later.
Events and Documents have none of this — saving those publishes immediately. If you have used those and assumed News behaves the same way, it doesn't, and the difference is in your favour here.
Writing an article
- Click News in the left-hand menu.
- Click Create New.
- Fill in the Title.
- Check the Publication Date. It fills in with today automatically.
- Write the article.
- Save as a Draft while you work.
- When it's ready, Publish.
The fields
| Field | What it's for |
|---|---|
| Title | The headline. Required |
| Publication Date | The date shown on the article, and what the list is sorted by. Required |
| Expiration Date | Optional. See below |
| Description | The short summary used on cards and listings |
| Location | Optional, for announcements tied to a place |
| Categories | Used for filtering and grouping on the website |
| Card Image | The picture shown on news cards. Worth adding — a card with no image looks unfinished |
| Members Only | Tick to hide the article from the public |
The body of the article is built from blocks, the same as building a page.
Publishing sends email
Your subscribers receive a digest email. Every published news article is included in it automatically. There is nothing to tick and nothing to opt into.
An article goes into the next digest once it is:
- Published — a draft is never emailed
- Past its Publication Date — a future date holds it back
- Not expired — see below
Four things worth knowing:
Each article is emailed exactly once. The system marks an article as sent. A missed run, a restart, or you editing the article afterwards will not send it again.
Members Only does not stop the email. An article marked Members Only is still included in the digest. Visibility on the website and inclusion in the email are separate decisions, and ticking one does not affect the other.
Backdating does not hide it. Setting the Publication Date to last month does not keep it out of the digest — it just puts it lower down the list. Anything published with a date in the past is eligible.
Scheduled articles are still emailed. If you schedule an article for Friday, it publishes on Friday and goes into the next digest after that. Scheduling delays the email, it does not avoid it.
If you don't want an article emailed, don't publish it. Keep it as a draft until you do.
Expiration Date
Optional. Set it and the article drops out of the digest after that date.
Use it for anything with a shelf life — a deadline, an event reminder, a seasonal notice. Leave it empty for anything that stays relevant.
Finding an article
The list shows Title, Publication Date and when it was last changed, newest first. Use the search box at the top to find one by name.
Editing a published article
Edit and save as normal. Your change is live immediately.
Editing does not send a second email — the article has already been marked as sent. So it is safe to fix a typo after publishing.
Deleting
Deleting is permanent, and any link to the article stops working.
If an article is simply out of date, consider setting an Expiration Date instead. It stops appearing in the digest while existing links keep working.
